Job Description
Event Coordinator
Responsibilities include:
  • Arrival at the facility 3 hours prior to event time (usually 2pm) take over from Set up Manager and coordinate with the clients to ensure everything is set up correctly.
  • Manage event staff and vendors , providing direction and constant checking to ensure all event tasks are carried out promptly and correctly
  • Coordinate with client and staff and vendors throughout the event ensuring all company policies are followed and client receives an exemplary service.
  • At the conclusion of the event manage staff in clearing the event space ready for next day cleaning by cleaners.
  • Keep accurate records of any issues/breakages/complaints etc – these records should be written to enable General Manager to understand exactly what happened during the event.
  • Ensure facility is locked and all alarms are armed prior to departure from the venue
  • Keep accurate time keeping records for all staff members
  • On non event days Coordinator will be available on site to meet with prospective clients to show the venue – no sales experience is necessary.
  • Accurate record keeping of all site visits
 
Qualities
  • Bilingual Spanish/English
  • Organized
  • Punctual and understanding of the importance of their role
  • Trustworthy
  • Able to provide direction and keep others in line
  • Customer service orientated
  • Event experience not necessary but valued
 
Hours – Minimum of 20 hours potentially up to 30 hours depending on event schedule
